In this release we have made enhancements to how you access athlete information when viewing athletes individually or by teams. The navigation enhancement does not impact functionality, but reduces confusion when clicking into an athlete’s information.
The navigation improvement consists of merging the Teams, History, Reports, and Documents icons into one new icon, called Athlete Profile. The Athlete Profile page allows you to review and manage all the information for one athlete, from one page. The functionality still remains based on your user role as set by the administrator for your organization’s PRIVIT Account.
To get to an athlete’s Athlete Profile page, go to Manage Teams and either search for an individual athlete or click on members within a team and then click on the Athlete Profile icon or ellipse to get to the Athlete Profile icon for the athlete whose information you want to view.

Broken out by role, the following lists what can be found/accomplished in the Athlete Profile:
Administrator
As an Administrator for the school/organization, this staff member will have the ability to do the following from the Athlete Profile page:
- If applicable, view all athletes’ emergency contact information
- Remove an athlete from a team or move an athlete to a different team
- Upload documents for an athlete
- If applicable, edit Physical Date and Physical Exp. Date for athletes
- If applicable, view athletes’ Clearance Statuses
Coach
When the Coach role is assigned to a staff member, they will only be able to see information relevant to their team. For any team where a user is assigned the Coach role, they will be able to do the following from the Athlete Profile page:
- Ability to upload documents on behalf of an athlete
- View the Clearance Status of an athlete and if applicable, history notes associated with this status
- If applicable, view the Physical Date and Physical Exp. Date for team members
- Ability to see the emergency information for athlete
- Ability to remove an athlete from the team
Medic
When the Medic role is assigned to a staff member, they will only be able to see information relevant to their team. Often times this role is assigned to team physicians and athletic trainers. For any team where a user is assigned the Medic role, they will be able to do the following from the Athlete Profile page:
- If applicable, view the extensive Medical History for an athlete
- Upload documents for athletes
- If applicable, change/update the clearance statuses and review the history notes associated with this status
- If applicable, edit the Physical Date and Physical Exp. Date
- If applicable, download any documents
- View any additional teams an athlete is associated with for that organization
- If applicable, view any documented incidents
Coordinator
When the Coordinator role is assigned to a staff member, they will be able to view all the teams. As a Coordinator, the staff member will be able to do the following from the Athlete Profile page:
- Upload documents for athletes
- If applicable, change/update the clearance statuses and review the history notes associated with this status
- Remove an athlete from a team and move an athlete to a different team
- If applicable, edit the Physical Date and Physical Exp. Date for team members
Additional Staff Role
When the Additional Staff role is assigned to a user, this role will only be able to view selected documents for specific teams defined by the PRIVIT Admins.
- Can only see specified documents for teams they have been assigned to
Upon completing Privit ProfileTM, users have always had the ability to select which printouts to download and/or print. This new functionality provides users with a “Print All” option or the ability to select a few or just one of the forms needed.
Organizations now have the ability to choose what documents show up for users to print. Under Organizational Settings, authorized administrators can manage settings and select which documents are viewable. For instructions on managing this new setting, visit the Help Center article called Updating Organization Profile and scroll down to the Download & Print Reports section.
Authorized Administrators now have the ability to request a secondary address from users. This allows both a primary and secondary address, which is useful for users who are attending university or college. The secondary address will appear in the Demographics section, and appears on relevant reports such as the Emergency Information, Consent to Participate, and the e-PPE Medical History Summary reports.

A New Look for Privit Profile™!
We are delighted to announce we have completed the finishing touches on the new Privit Profile™ (formerly Privit e-PPE®) login/registration page! Not only have we freshened up our brand appeal, but behind the scenes we have made our already great security infrastructure even better.
Improved Login Process:
The CAPTCHA feature has been removed, making the login process much faster for users. Instead, cutting edge technology has been put into place to ensure security of your password information.
The protection of our young users who access the internet is of great importance to us. To add an additional layer of protection, we now require users to add a birthday during the registration process. Users younger than 13 will be required to verify parental consent before using the Privit Profile™.
Enhanced Welcome Message Feature:
Our MVP administrators will be excited to know that they can now embed media in the custom welcome message. Whether it contains a motivational coach speech or the latest and greatest game highlights, the choice is yours!
Help Center:
The Help Center has also been significantly improved. Accessible right from the Privit Profile™ application, the Help Center provides: Frequently Asked Questions (FAQs), step by step How To Guides, and Video Tutorials. If you still need help, simply submit a request from within the Help Center and a friendly support team member will be happy to assist you!
This month, our goal was to provide security upgrades, enhance our brand, and make the website more convenient for our users!

Profile Pictures:
You now have the ability to upload a photo to your profile!
Easily upload a jpg, png, gif, or bmp file profile picture, and if necessary, crop the image, then save it to your profile. At any time you are able to update your photo from the “Home” screen under “Manage Your Account” by clicking the “Change Profile Picture” button.
Your profile picture will appear on team rosters. This will assist authorized coaches, athletic trainers, and administrators the ability to differentiate students with the same name and recognize new team members.
Upload Documents:
You now have the ability to upload PDF documents associated with your profile. You can access the document upload feature from the “Home” screen under “Personal Options” by clicking the “Manage Your Documents” button. Each user has the ability to upload a maximum of 10 documents with each document having a 1MB size limit.
In addition, coaches, athletic trainers, and administrators who have system permissions will have the ability to upload documents on behalf of users associated with their organization.
Additional Updates:
